Sending Original Documents Within India: A Practical Checklist for NRIs

Treat each original as an item to account for—from the person releasing it to the person checking and returning it.

An overseas family may need a document moved from a parent’s home to a professional’s office or from one Indian city to another. The risk is often the gap between “sent” and “received”: nobody has recorded the contents, the envelope reaches a reception desk, or the original remains with someone after the task ends. A simple custody trail helps close those gaps.

Confirm why the original must move

Ask the receiving office which exact documents it needs and whether an accepted digital record, certified copy or in-person inspection would meet its requirements. Obtain the instructions directly, including whether the original will be retained and how it will be returned. Avoid sending an entire family file when only one document is required.

This checklist concerns movement within India. Do not assume it covers international dispatch, passports, negotiable instruments or other documents with special handling requirements. Check the relevant issuer’s and carrier’s rules first.

Create an itemised dispatch record

Before packing, list each document’s title, date, issuing authority, page count, attachments and whether it is an original or copy. Use only enough identifying information to distinguish the item; keep sensitive numbers out of casual messages. Note existing damage, loose pages or missing attachments.

Make readable scans, where appropriate and permitted, and store them securely. Scans help you identify what was sent but do not automatically replace an original or establish its authenticity.

Use three separate checks: what left the sender, what the intended recipient actually received, and what came back. A tracking status alone cannot answer all three.

Verify the recipient before release

Confirm the named recipient, department, full address, PIN code, contact number and office hours using a known channel. Ask who may accept the envelope if that person is absent. If someone requests a last-minute address change, verify it separately before dispatch.

For a local representative, record who collected the documents, the time, purpose and expected return date. A custody acknowledgement should describe the items without granting authority to sign, transact or pass them to others.

Pack for protection and identification

Use suitable document protection and a sturdy sealed outer envelope. Avoid folding, stapling or altering originals unnecessarily. Keep the contents list inside and retain a copy. Put a return address on the package without advertising sensitive document details on the exterior.

Ask the carrier about acceptance, packaging, tracking, delivery evidence and applicable terms before booking. Select the service for the actual documents and destination rather than assuming every shipment receives the same handling.

Track the journey and confirm the contents

India Post’s Domestic Speed Post Document guidance lists online tracking and delivery updates, with Proof of Delivery among its value-added services subject to the applicable instructions and fees. It also describes delivery as generally address-specific unless otherwise specified. Confirm the options available for the particular booking.

Keep the booking receipt and consignment number in the document register. Use the carrier’s official tracking channel. After delivery, ask the intended recipient to check the seal, count the items against the list and acknowledge any discrepancy promptly. Delivery to an address is a separate event from the right person checking every page.

Protect information during follow-up

Share tracking and document details only with people involved in the task. India Post’s fraud alert advises using its official website and avoiding disclosure of OTPs and financial or personal information through unauthorised links. Verify unexpected delivery messages through the official channel instead of following payment or address-update requests blindly.

Arrange the return before the task ends

Set a follow-up date and nominate the person responsible for return. On receipt, reconcile every item and attachment, record its condition and update the secure storage location. If something is delayed, damaged or missing, preserve the records and contact the recipient and carrier promptly. Obtain qualified advice where an important deadline or legal document is affected.

For a defined collection, delivery or office follow-up requirement, review NRI Solutions 360’s documentation and concierge services and send an enquiry. Confirm whether the task can be accepted, with what authority and handling arrangements.
